Describe the customer project
State whether the request is for a tender, an approved project or an initial budget. Separate the integrator, contracting buyer, payer, receiving entity and final operator. Include the actual installation country and intended use. An intermediary address alone is insufficient for assessing a server supply request.
Control the specification passed between parties
Use one BOM revision across the customer request, supplier quotation and purchase order. Identify mandatory parts and acceptable alternatives. Record who can approve substitutions and obtain that approval before changing hardware. This prevents a lower-priced offer from being compared against a different configuration.
Set the boundaries of the quote
Ask for equipment condition, quantity, currency, quote validity, delivery scope and payment milestones. Identify which party supplies optics, cables, rack accessories, installation and software. If your customer requires a named delivery date or destination-specific service, obtain written supplier confirmation rather than copying assumptions into your customer offer.
Protect the handover between supplier and customer
Define where inspection occurs, who can attend, which records will be provided and when acceptance takes place. Clarify whether acceptance at an intermediate warehouse also completes the customer obligation or whether further installation tests are required. Document transport risk, custody and responsibility for reporting damage.
Agree support before a customer promise
Confirm service eligibility for the final owner and destination, the contact responsible for faults and how replacement parts move. Separate manufacturer service from services supplied by the integrator. Avoid promising an onsite response time until the responsible provider has accepted that obligation.
Submit a qualified integrator enquiry
Send company details, your role in the transaction, customer project stage, model, quantity, BOM, final destination and desired timing. Include a corporate email and the responsible purchasing contact. Customer-sensitive documents can be exchanged through an agreed private channel after the initial scope is understood.
Apply this checklist to your deployment market
Use the technical and commercial checklist above together with the receiving plan for your actual installation site. Country selection identifies the project destination; it does not establish stock, a local office or automatic supply eligibility.
- United States: Request a dated allocation check for the exact system BOM, condition and quantity; a spot option is not a live inventory claim.
- United Arab Emirates: Name the applicant, beneficiary, proposed bank and documentary requirements for commercial review.
- Mainland China: Disclose the actual operator, final installation and intended use before discussing supply.
- Singapore: Identify the operating company separately from the regional purchasing headquarters.
- Malaysia: Identify the actual receiving facility, including the deployment city and rack readiness date.
- Indonesia: State the receiving city and facility; distinguish international delivery from onward domestic transport.
- Thailand: Separate the integrator purchasing the equipment from the company operating it.
- Vietnam: Identify the buyer, importing entity and ultimate operating company.
- Japan: Provide the exact platform part number and the receiving facility’s electrical and cooling specifications.
- South Korea: Identify the operator and end-user workload rather than providing only a trading-company address.
- Taiwan: Distinguish complete-server procurement from component sourcing or manufacturing enquiries.
- India: State explicitly that this is an India end-use project; supplier inspection in India is a separate requirement.
- Philippines: Specify the final facility and the complete domestic delivery route, not just an arrival port.
- Hong Kong: Distinguish deployment in Hong Kong from warehouse receipt for a different destination.
